Let's be honest: bookkeeping is rarely at the top of a skincare business owner's list of fun things to do.
There are clients to see, appointments to manage, products to order, employees to schedule, social media to post, and approximately 47 other things demanding your attention. So it's understandable when the bookkeeping gets pushed down the list. The problem is that bookkeeping has a funny way of becoming more difficult the longer you ignore it. A few uncategorized transactions turn into hundreds. A forgotten subscription keeps charging your card. Your financial reports stop making sense. And suddenly, figuring out how much money your business actually made feels like detective work. If any of the following sound familiar, your books may be overdue for a clean-up. 1. Your Bank Reconciliation Has Become a Mystery When was the last time you reconciled your business bank account? If the answer is "I'm not sure," that's a pretty good place to start. Your bookkeeping records should match what actually happened in your bank and credit card accounts. When they don't, you can end up with missing transactions, duplicate entries, incorrect balances, or expenses sitting in the wrong place. And the longer those errors hang around, the harder they are to find. A clean-up doesn't necessarily mean something is terribly wrong. Sometimes your books simply need someone to go through the transactions and make sure everything lines up. 2. Your Profit & Loss Report Makes You Scratch Your Head Your Profit & Loss report should help you understand your business. Instead, does yours leave you wondering: *"Where did all that money go?"* Or perhaps you're looking at an expense category called "Miscellaneous" that seems to contain half your business expenses. Your financial reports are only as useful as the information going into them. If expenses are being categorized inconsistently or income is being recorded incorrectly, your reports can give you a distorted picture of how your business is performing. That can make it difficult to answer important questions about pricing, spending, profitability, and growth. 3. You Have a Small Forest of Uncategorized Transactions Open QuickBooks and see a long list of transactions waiting to be categorized? A handful isn't unusual. Hundreds are another story. Uncategorized transactions often pile up when bookkeeping gets postponed month after month. And once you have a mountain of them, figuring out what each charge was for becomes considerably harder. Was that $247 charge for skincare supplies? Advertising? A continuing education course? Something personal that accidentally went on the business card? The sooner transactions are reviewed, the easier they are to identify and categorize correctly. 4. You Keep Finding Subscriptions You Forgot About Here's a fun little bookkeeping scavenger hunt: Go through your business bank and credit card statements and look for recurring charges. You may discover subscriptions you completely forgot you were paying for. Scheduling software. Marketing platforms. Design tools. Cloud storage. Memberships. Apps. Training programs. One $19.99 charge doesn't seem like a big deal. But multiply that by several forgotten subscriptions over 12 months and suddenly you're spending hundreds—or even thousands—of dollars on things you're barely using. Your monthly bookkeeping review is a perfect opportunity to ask: **"Am I still getting enough value from this?"** If not, cancel it. Your business doesn't need to sponsor software you haven't opened since 2024. 5. You're Afraid to Look at Your Books This may be the biggest warning sign of all. If opening QuickBooks produces the same emotional response as opening an email from the IRS, something needs attention. You shouldn't have to be an accountant to understand the basic financial health of your business. You should be able to look at your numbers and get reasonably clear answers to questions like: * How much did I make this month? * What are my biggest expenses? * Am I actually profitable? * How much cash do I have available? * Are my expenses increasing? * Can I afford to hire someone? * Am I setting aside enough money for taxes? If your bookkeeping can't help you answer those questions, it's probably time for a clean-up. A Bookkeeping Clean-Up Can Be a Fresh Start The good news is that messy books don't have to stay messy. A proper bookkeeping clean-up can uncover duplicate transactions, old unreconciled items, incorrect categories, forgotten subscriptions, missing documentation, and other problems that have accumulated over time. More importantly, it can give you financial reports you can actually use. Because your bookkeeping isn't supposed to be something you maintain just to keep your accountant happy at tax time. It's one of the tools you use to run your business. And when your books are clean, your numbers become a lot easier to trust. If you're an esthetician, spa owner, or skincare business owner and your bookkeeping has gotten a little—or a lot—out of hand, we'd be happy to help you get things cleaned up and back on track.
